Transcript for "Spring 2026 Release":
Hi, everyone. Welcome to this, spring livestream. So great to have you all, with us today. Appreciate you spending an hour with us. So let's go, next slide. So our agenda today, I'll give you just a a little bit on what we're up to at Simple Practice, a bit bit about a bigger road map, And then we'll be diving into three sections, around running your practice, simplifying insurance and billing, and building your caseload. And then we'll get into an open q and a. But, also, after each section, we'll do a bit of q and a as well. So if you have questions, on the specific things you're seeing, you can ask that. But if you have more general questions on anything, we can tackle those at the end. So we go to next slide. Just wanna say, first of all, thank you for being here. You know, as we build a product, you'll see you'll meet some of the product managers that are responsible for that. We talk to clinicians and therapists every day. Our team connects as we build products, usually gets a group of clinicians that are passionate about something, to give feedback. But we really wanna sort of partner in terms of where we take, Simple Practice. And often that comes from real real world experience, things you're doing every day. And so, we listen to that pretty carefully and then figure out, like, where we wanna go. Even when we're building a particular, feature, often we'll be working directly with, therapists and clinicians to get that right and make sure, it evolves. Just to give you a sense of how we, listen to customers, well, there's a whole bunch of different sources, we look at. There is, obviously, support. Whenever you call into support, have an issue, or raise something, we log all of those, and track those issues. We send surveys out. You may get those sometimes. If you put a comment in a survey, we track, all of that and summarize it. Then there's our user voice system. And if you're in Simple Practice, there's a little question mark in the bottom right hand corner. If you click that and wanna provide feedback, you'll see our user voice, which essentially allows you to put in a suggestion, and that can be uploaded, by other customers in terms of things that are most important. And then, obviously, we do these live streams as well. Now our CEO, Jonathan Seltzer, is also doing a monthly live stream now, Let's Talk. And, often, he will get a lot of product, ideas as well as part of that. And these conversations matter because sometimes there are things that we don't pick up on or, people are very passionate about a certain issue. I remember when we first did one of these about a year ago, there was an extremely passionate customer about localization and Spanish. And, it's something that we always wanted to get to but didn't quite get there, and made it happen. And now we have localized Spanish portal. So I think that passion coming through through from you can often help, us prioritize. If we go to the next slide, you know, what we hear from you I mean, I think there's the things often come into four bigger themes, which I think you'll be very familiar with. There's one, you know, running a practice, whether that's like scheduling, communication, reporting, administrative work. It's just a lot, and especially, we find a lot of clinicians going out on their own or even building a group practice. It's the first time it's running a business. There's a lot it takes, so anything we can do to simplify that is super important. Secondly, insurance and billing are still too complicated. We've we've spent a lot of time on making billing really seamless, and we actually have a new SimplePractice invoicing, product that's rolling out. Quite a few of you have adopted already, but insurance is still too complicated every every everything from, deciding which insurance to go through to credentialing to, getting, you know, your claim submitted first time and paid. There's a huge amount of work going into that, which I'll allude to in a minute. Third, you know, depending on the clinician, building a caseload. I think in some cases, people with maturity and sort of building a practice can get to a point they want to, but many of you are looking, for more referrals, especially, those running group practices to try and find efficient ways to bring referrals in. So there's a lot we're, doing that. And then lastly, in this world of AI, I think it's super interesting. We found, there's a very passionate group of customers, that are asking us for AI features. And there's some questions I just don't wanna have AI in their practice, and that's totally fine. We're trying to cater to both. But the most important thing is for us to be trustworthy and transparent and, most importantly, put the clinician at the middle. So, in any way we use AI, it needs to be clinically proven, and it's augmenting a clinician's care, not replacing it. Now in terms of, like, specific, feedback we get I I just put a couple of examples here. Right? One from Becca and one from Bridget. And these are the kind of details that really help. Like, you know, when you talk about these big themes, you know, it's easy to say that, but it comes down to the specific things that make it easy for you to do your job. And often these things you do many times a day, and it's like that kind of feedback that's helpful. So, actually, the first one, based on Becca and a lot of other people's feedback, We implemented something called billing rules that helps with that. And then on calendar, we get so much feedback. We've got Paul on stage here in a bit. So, you're welcome to provide provide him feedback. He gets a lot, and and he's excited to show you some of the stuff, he's been working on. So we go, next slide. Just, you know, sometimes I hear, does Simple Practice ever listen to to what we say. Right? And, we have this this system called UserVoice, which I mentioned you can get to with, the question mark, and provide feedback. I went and looked over the last, couple of years at all the UserVoice things and all the top 25 items that we've been asked to do. And when you look at those, we've built or on the road map or backlog about 80% of those items. So I can say if you vote up items and are passionate about those things, we track them pretty closely and get most of them done. So I would say it's a good signal that upvoted things, get traction. And then, obviously, our product managers are looking for not everything gets the most votes. And this is where these kind of forums and engaging directly with questions allows them to kind of figure out what else they need to be doing to reflect feedback. Your next slide. So what's new and upcoming? Usually, when we look at our road map, we talk about what's just previously released. So you can see some of the items there. Those of you that are using Notetaker, we had actually a session, a live stream last Friday on that. There's lots of things we're doing, in terms of enhancing Notetaker and improving note quality right now. If you have questions on that later, we can, get to that. But you'll see some of the things we've done around calendar and, telehealth live captions, multilingual support for notetaker, and, features around scheduling. But today, we've got sort of three main areas around running your practice. We'll talk about mass document sharing, which I know is highly, highly sought after. Very excited to release this, calendar improvements and export center. And then for insurance and billing, we'll be covering SimplePractice invoicing, which people love. In fact, we're finding people that use SimplePractice invoicing getting paid, like, two or three days faster than if you don't. So big plug, to adopt that, payment links, and then, what we're doing around EOA enhancements and getting, your insurance, more seamless. And then lastly, on building a caseload, in terms of how we route, referrals and group practices, we've done a bunch of work there and some therapy finder enhancements. Now coming soon, we've got a lot of amazing features coming up in the next six months. The team is working really hard. The first, I'll talk about is carried. So with the success of Notetaker, those that have tried it, it's interesting. If you try Notetaker, then usually about eight out of 10 clinicians will continue to use it. We're still we're obviously working through tuning that. We've had so much feedback on, getting notes better and, especially with, multisession notes. Happy to talk about later if you have questions. But, there's a whole set of things we can now do to help questions pre, during, and post session. And this is where Carrie comes in, which is the ability to, get summarizations, quickly on either mobile or desktop before sessions based on prior notes or interactions and the intakes in the session, real time, ability to ask questions of of prior notes or get a quick actions and recap of what's happening. And then post session, get a summarization of what's happening, provide feedback to the client. So anyone that's using Notetaker today is starting to get, access to those features to try them out. And then, the other two areas we're really excited about, insurance. We have a lot coming in the fall, that we'll be talking about coming up in terms of improving the overall insurance experience. And one of the things that we have a mantra in SimplePractice is can we make insurance as easy as swiping a credit card? Like, if you if you bill for cash, you can just swipe a credit card and get paid. It should be that easy with insurance. It's not today, but our team is working through every step of the process to improve that, and we will, we'll show you that. And then lastly, in terms of analytics and seeing how your practice is running, we have, some stuff we'll be showing you, in the summer on that. So, with that, let's go to the next slide, and we'll start bringing on, some of our product managers here. So we got Paul, Liz, and Sonya. Welcome. Appreciate you coming on. And, I think, Sonya, do you wanna introduce yourself and then tell us what you're gonna show us? Hey. Hey, everyone. I'm Sonya. I'm product manager for the core documentation team. I wanted to talk about, sharing documents in bulk or mass document sharing that was released in March this, this past March, and I wanted to talk about, a little bit about it and share a short demo for that feature. So as we heard, one of the biggest pain points from y'all is that, having to you're all having to send the same document to multiple clients one by one, which we can tell is a really repetitive and time consuming practices time consuming process, especially for larger practices. So our goal was to eliminate that manual work. Instead of you all repeating the same workflow over and over, you can now send everything in a single action. And turning something that used to take up to hours or, you can now send send documents in minutes. So this is was our one of our most requested features, and we're really excited it's now in your hands. Let's take a quick look at how to use this feature to send documents to multiple recipients in a single action. From the Clients and Contacts page, select the Share Documents button on the top right to begin the flow. The first step is selecting recipients you'd like to send documents to. In the top From the Clients and Contacts page, select the Share Documents button on the top right to begin the flow. The first step is selecting recipients you'd like to send documents to. In the top right, you'll also see the total number of active clients and contacts with client portal access. To select recipients, you can scroll through the list and select them individually. You can also use the search bar to search by name or email, or you can also use this button here to select all recipients in the list. I'll start by selecting a few couples, clients, and contacts. At the bottom right, you'll see a running count of the recipients you have selected. Once your recipients are selected, you can move to the next step to choose documents. Here you can choose consent documents, scored measures, intakes or questionnaires, or even PDF files that you may have uploaded. Once you're done selecting documents, you can move to the compose email step. On the compose email step, you can customize your email messages to your recipients that they will receive when documents are shared. These messages support macros, allowing you to automatically personalize emails with practice and client information. The first box here is for clients, and if contacts or couple members were selected, you'll also see a separate message box to customize their email independently. The final step here is review and share. Here, you can review your selected recipients, preview the email message that would be sent to them, and confirm the documents being shared before everything goes out. Once everything looks right, select share documents to send all documents in a single action. Once you select share documents, the flow closes, and a sending in progress banner appears. You can also view sent emails report linked here to view the delivery statuses for each recipient. There is a second entry point that I'd like to quickly highlight. From settings, documentation, and shareable documents. You can also start this flow directly from the shareable document page in settings. From the action items menu on any document, select share with clients to quickly begin the flow. This is especially useful. So we've already seen clinicians out their staff consent over a 140,000 all active clients and contacts. and contacts and share over 280,000 documents through this feature. And based on customer feedback, what used to take repeated manual steps can now be completed within minutes or even seconds instead of hours. Need to do here as the demo showed, there's two places where paid users can access this feature, the clients and contacts page or from the shareable document settings page at the individual document level. Thank you, Sonya. Appreciate it. I can see, like, a few comments and questions coming in on that. So if you have a specific question for Sonya about what you'd like to improve with that feature, add it to the q and a. And while you guys are doing that, Paul, do you wanna come up and introduce yourself? And you have a you've been busy. Right? Multiple features to be showing folks on, calendar here. Yeah. Absolutely. Hi, everyone. I'm Paul on the calendar management team. I'm here today to talk about four features, suggested times, duplicate appointments, private events, and an update to your online appointment request settings. So we have known for a while that clinicians are losing valuable time to repetitive scheduling tasks, struggling to find available appointment slots quickly, and in group practices lacking privacy controls, and also sometimes receiving unnecessary phone calls when online booking is available. So our our goal here was to streamline the scheduling workflows, reduce manual efforts, and give group practices better calendar control as well as directing clients to the right booking channels so that you spend less time managing your calendar and more time with clients. Hopefully, these features reduce friction for you and your clients at every step of scheduling and calendar. So we're gonna hop into a quick video, and then I can talk more about it. Hi, everyone. I'm Paul, a product manager here at Simple Practice on the calendar management team. Today, I'm excited to show you some of the latest updates we've been working on that Hi, everyone. I'm Paul, a product manager here at Simple Practice on the calendar management team. Today, I'm excited to show you some of the latest updates we've been working on that are going to make managing your calendar a whole lot easier. So let's dive in. First off, I wanna show suggested times. When you're trying to schedule an appointment with a client, the last thing you wanna do is play detective with your own calendar, scrolling through weeks trying to piece together when you have availability. Now you can click right here on suggested times, and it finds available time slots for that clinician and client based on your own availability and calendar display settings. It also tells you how many weeks in advance that specific time slot is open. Simply select one and create the appointment. Oh, sorry. I'm from to each video. The second feature is duplicate appointment. Think about how many times you had to reschedule a client or book a similar appointment and start The second feature is duplicate appointment. Think about how many times you had to reschedule a client or book a similar appointment and start completely from scratch, reentering the same client, service codes, and details every single time. It's one of those small frustrations that can add up across the busy week. With duplicate appointment, you can skip all that. Open any existing appointment or event, scroll to the bottom, and hit the duplicate button. The system recreates the appointment or event exactly as it was and lets you drop straight into date selection so you can rebook in seconds. If you are in a group practice, your calendar is If you are in a group practice, your calendar is visible to your team, which is great for coordination, but not so great when you need to block time for something personal or sensitive. Up until now, your options were limited, but private events gives you a better option. When creating an event, simply check private here. The time will still show as busy to other members of your practice, but the details If you are in a group practice, your calendar is visible to your team, which is great for coordination, but not so great when you need to block time for something personal or sensitive. Up until now, your options were limited, but private events gives you a better option. When creating an event, simply check private here. The time will still show as busy to other members of your practice, but the details are hidden from everyone else, looking like this. Your calendar stays organized, and your privacy stays intact. If you offer online appointment requests, you know how valuable it is to show clients the most up If you offer online appointment requests, you know how valuable it is to show clients the most up to date availability. We've heard your feedback about an issue where the scheduling. widget shows short notice time slots that share all these updates booked you. with a message to call the practice. times and the short notice booking have full control over that. now. Duplicate do this, is currently rolling out to everyone, Portal Permissions, you should have it within the next week or so. and you'll see a new checkbox events will begin rolling out to group practices slots and next two weeks. to call the practice. So lots of exciting updates coming up. and hit save, Amazing. Thank you, and. now clients will only you have questions slots that, throw them in the q and a. We're seeing a bunch of questions come in right now. and no, extra steps. add them and vote them up. While you do that, Liz, do you wanna introduce yourself and tell us what you're gonna show us? Sure. Hi, everyone. My name is Liz, and I'm a product manager on the reporting squad. We've been hard at work on several updates to reporting, and what I'm gonna talk with you about today is called the export center. And let's roll the video. When it comes to reporting SimplePractice offers over two dozen reports to help practices run payroll, track their income, and stay on top of insurance claims. When it comes to reporting SimplePractice offers over two dozen reports to help practices run payroll, track their income, and stay on top of insurance claims. Many practices need to pull this data regularly whether they want to perform additional investigations in spreadsheet software or import this data into payroll and accounting programs. For many practices this can be a manual process that could take hours per month. And if you are a larger practice you might have run into problems exporting large data sets. However, with our new export center feature practices can save time via our recurring exports feature and you can export even multiple years of data while you work. This feature, when it's available in June, will be found in the analytics section of the platform under the tab report exports. Clicking here, I'll be taken to a table displaying the reports that are ready for me to download. To download an ad hoc report, I can just click on the download button. To create a new export, I can click new report export and I can choose from one of five different reports. These are the largest reports and the ones that we found customers are using the most often. For example, the appointment status report. When I select that I can choose a date range. I can even make it multiple years. Select the clinicians, clients, and statuses of appointments I want included, whether I wanna include insurance information and documentation status, and the file type format. When I'm ready, I'll click export report, and that's queuing up. When I go to the exporting status, oh, it's actually already ready. So now I can see that here. And even though it's a very large file, it was able to be generated within a matter of seconds. And I can click download and start using that at any time. Now let's say you're running payroll on a recurring basis and you want to have the appointment status report ready for you every Monday so you can quickly import that data into your payroll software. To do that, I'd go to scheduled reports and set up a new scheduled report. I'll choose appointment status, select the information I want to include, and select the export frequency. For me, I'm running this every Monday, so I'll click every Monday and then click schedule a report. Now it's all set up, and I could see it in the list of reports that are gonna be generated on a recurring basis. This feature has already been in beta, and we've heard from practices that are using it that it's made getting the data they need a lot easier and in fact has already saved one practice more than an hour per week. Awesome. We're really excited for you to get a chance to try this out once it's available to all practices in you. saw, this is a feature that makes getting the data you need a lot easier. We've heard from practices that instead of stitching together multiple exports, they can now generate multi year large datasets in just a single file. With this, we hope to make getting the data you need a set it and forget it process where everything you want available on a regular basis is there as soon as you need it, and even the largest ad hoc data request can be handled in a few clicks. This will lead you to having to spend less time manually reconciling large spreadsheets and getting you to the solutions you need faster. Now this feature is, currently in early access, and if you're interested in joining, you can email events@simplepractice.com, and we'll put that feature on in your account so you can start using it as soon as possible. Once it's available, you can just go to the analytics tab and click on report exports and start setting up your recurring scheduled exports. Amazing. Thanks, Liz. Well, let's get a few questions here before we get to the next session. So, Kimberly, I saw you in the chat, and you you have the top up of your question here, which is we need a way to build our own reports. I run a group practice of 50 providers, 10 locations. It's very difficult to obtain data with the prebuilt report. So, I'll start, and then, Liz, maybe you can jump in here a little bit as well. So, what we found, there's really two archetypes of customers. There are ones that, like like the reports we have. And, actually, when we get into the summer, we'll be talking more about a set of analytics features, we'll be launching that gives you the most common metrics, the most common views, the way to drill down, etcetera. But, Kimberly, when you get to potentially running a group practice of 50 people, there may be some more unique things that you're trying to do. And what we found with larger practices is they want to get the data out, into their own reporting solutions. This is kind of what Liz was showing in the sense of, this is the way to export all the data, and you can do whatever you want with it. Now we have heard, could we build that, like, customizable reporting into SimplePractice is definitely something we're considering. But we wanted to unblock practices right now in terms of getting data out easily and not getting blocked. But, Liz, there are other things, right, like in terms of making sure, when practices export data, they can link the different pieces. And I know you've got a ton of feedback in terms of what you're hearing. So first, any any comments on kind of what we're doing there? And then secondly, if people have direct feedback for you, like, how would they get ahold of you and give you that feedback? Definitely. So, yes, Kimberly, we definitely know that, custom reports, especially as practices grow and scale and like yours, have multiple locations. We're definitely looking into that. And in the meantime, what we're hoping to do over the next couple of quarters is making a lot making it a lot easier to go into reports and sort of divvy it up and get the views you need. For example, dividing by location, better filtering down by things like CPT code, clinician, so you can quickly get the information you need instead of having to comb through large tables. We're also working on making reporting load a lot faster. We know that, the reports in SimplePractice can be a little slow, and we wanna make sure that, especially for larger practices, that things are loading quite quickly. As we're looking into custom reports, we definitely wanna hear about the specific, use cases that people are using them for, to better understand how we can meet your needs. So as always, there's the ideas and suggestions board that we check regularly for reporting, but we can also have folks email, when you if you reach out to the events@civilpractice.com to join that early access program. You can also include information about what you'd like to see in custom reports. Great. Thank you. Lot lots to do here. I'll take a couple more questions here. So, Jason, you asked a question on for sharing mass documents. Will there be an option to filter clients, by clinician instead of all clients, Sonya? Yeah. Definitely. Actually, that's, something we wanted to talk about for doing in the longer term. We'd like to kind of explore, ways to make repeated workflows even faster through things like you mentioned, like advanced filtering, selecting by recipient types, or maybe building reusable recipient groups for common workflows. So something we're gonna dive into as we see, as we continue to learn from customer workflows and high volume sharing patterns here. Great. And then I'll take one more question. We'll move on, but we'll come back to these questions at the end. So keep voting and adding them. Paul, this is from Peggy. We began using our SimplePractice calendar as our main calendar simply because we're in it so much. It would be easier to create an event such as a team meeting and be able to choose all therapists at once at a shared non billable event that can appear on all calendars. Any thoughts on that one? Hi, Peggy. Yes. This is, definitely a piece of feedback that we've heard from group practices. You know, we, a while ago launched group appointments, which allow you to have multiple clients in the same appointment. And there's been a similar ask for more internal staff meetings or or or the like, to be able to use SimplePractice as the main calendar without having to switch back and forth between Google or something like that. So, no promises at the moment, but this is something that, we have heard and are very strongly considering, especially as we think about group practices and their needs for calendar. Great. Well, thank you, Paul, Liz, and Sonya. We'll be back later. So if you have more questions for them, add them in, vote them up, we'll get to them. But we will move on to, insurance and billing now. Just as a reminder, on that right hand side, if you have a question, put it in the q and a tab. I saw I see some of you adding comments and feedback in the chat, which is great. But if you want your question, in there, add it to q and a. If you wanna come on stage at the end, put your question in q and a. We'll we'll pick some of the more upvoted questions. So, if you if we get there and you wanna chat with us live, you can do that. But for now, we're gonna jump into insurance and billing. And, Nate, do you wanna introduce yourself and and what we're gonna talk about? Sure. Hi, everybody. My name is Nate Eberly, product manager for billing and payments at Simple Practice. Today, I'm excited to share two updates designed to make billing simpler, more automated, and help you get paid faster, simple invoicing and payment links. So first, we'll look at simple invoicing, which improves how invoices stay accurate as client responsibility changes, helping reduce manual billing work and making it easier to collect the right amount from your clients every time. Hi. I'm Nate Eberly, and I lead the client billing team at Simple Practice. Today, I wanna walk you through a major enhancement we've made to our billing system, simple invoicing. In the past, a new invoice was created every time Hi. I'm Nate Eberly, and I lead the client billing team at Simple Practice. Today, I wanna walk you through a major enhancement we've made to our billing system, simple invoicing. In the past, a new invoice was created every time a client's responsibility changed. For example, if a client session ran longer than expected and you adjusted the session fee, the invoice would remain the same, and you would need to generate a new invoice to account for the difference. Let's walk through that example so you can see how it works today. We'll go ahead and manage this appointment, edit the details to a sixty minute appointment with a fee of a $125. As you can see, we now have an unpaid amount of $25. We'll go ahead and create an invoice and add payment. Historically, this created confusion both for you as the clinician and for your clients who would receive multiple invoices for the same appointment. Now let's look at how it works with simple invoicing where each appointment has one invoice that updates dynamically when client responsibility changes. Here's an example. This client has had four appointments over the past month. They haven't met their deductible yet, so they've paid the entire $150 fee out of pocket for each session. Before the claim was submitted for their May 6 appointment, they reached their deductible, and their responsibility was reduced to a $30 co pay. When the ERA or remittance advice is received by Cymbal practice, the invoice is automatically updated to reflect the new client responsibility. The invoice shows a payment of $30, and the remaining $120 is represented as a credit on the client's account. Let's refresh the page to see what that looks like. As you can see, we only have one invoice, one claim. Client responsibility has been adjusted to that $30 co pay, and the fee of $150 is offset by the $120 insurance payment. A credit has been created on the client's account with a history of all changes on the appointment being represented by the new billing ledger, which has been built into the appointment details page. This creates a much cleaner one to one relationship between appointment and invoice, making it easier to understand and trust your billing data. And we're already seeing the impact. Since launching simple invoicing just over two months ago, practices now on to payment links, are gives you a faster and more flexible way to request payment from your clients. with adjustments to client responsibility. Payment collection should be simple and seamless for both you and your clients. That's why today, Payment collection should be simple and seamless for both you and your clients. That's why today, we're excited to introduce payment links. This has been one of the most requested features at Simple Practice and for good reason. Until now, collecting an overdue balance or a payment from a client without a card on file meant asking them to log in to the client portal or collecting payment manually over the phone or in person. With payment links, you can send a secure payment request directly through email or SMS. Your client pays immediately. No portal login required. Here's how it works. You generate a secure payment link directly from the payment screen within SimplePractice and send it to your client in just a few clicks. When the client receives the link, they simply open it, enter their date of birth for identity verification, and then enter their payment information and complete payments securely. This is especially helpful for overdue balances, and it also makes it possible for clients without access to the client portal to pay securely. The response has been incredible. Over 30,000 practices are actively using payment links, and and they're helping clinicians get paid faster. Invoices paid through payment links are typically resolved four days faster than payments requested by other means. Overall, payment links gives you a faster, more flexible way to collect payment while making the experience simpler for you and your clients. So a couple emerging themes here, mostly helping you get paid faster and making billing more automated and intuitive. Thanks, Nate. Appreciate it. If you have questions for Nate on billing, how you get access to simple invoicing, etcetera, just put them in q and a. We'll get to those in just a sec. But in the meantime, Micah, welcome. Do you wanna introduce yourself and tell us what you're gonna talk about? Hi, everyone. I'm Micah. I'm a product manager on the insurance team at Simple Practice here, and I just wanted to share some updates regarding e r a enrollment automation. I think I have a a slide that we can pull up. But I I don't have a demo for you because, actually, there's there's nothing new in our product that you'll see or do. We're actually removing steps, that you previously needed to do for some, ERA enrollments. So ERAs are, you know, the essentially, the receipt that comes back from insurance companies as many of you know, and they're hugely valuable for actually things like Nate just discussed, like client billing after an insurance appointment and understanding exactly how much the client owes and and automating the the insurance payment posted into the product, when you do get paid by insurance. But the enrollment process can often be very painful. And for the majority of payers, you can see here on this top row, there's a multistep, enrollment today that is required. So you take a flow on simple practice, and but then you actually have the painful second step of going off our of our platform into, like, an external portal or or filling a PDF that it's it's payer specific typically what's required. And and that's necessary for the payers to accept your enrollment and and for things to go live in in simple practice to receive your ERAs. And that that step can often take twenty or thirty minutes at least per payer. And so if you have quite the portfolio of payers that you work with, that can be an arduous process as you get set up. But as we think, at Simple Practice about our clearinghouse partnerships and and how we work with different clearinghouses, one of the pieces of of benefit that we're able to offer in the in the coming weeks is enhancing the amount of these enrollments that actually skip that middle step. So automating away some of the duplicative data entry that you might be doing in other portals or in PDFs and and taking you straight from that flow and simple practice to a a live enrollment without the the extra twenty, thirty minutes per payer that you might spend. And what we're doing what we're able to do is actually take that from about 75% of enrollments that we see, clinicians doing to about 40% and and count them down as we go over time, the amount of, enrollments that we're able to to streamline and and skip that middle step on. So this isn't something that you'll necessarily see in the product, and this won't affect your current, enrollments if you're already set up live and receiving ERAs. But if you're interested in in setting up ERAs, through simple practice to streamline the way that insurance billing happens and the way that client billing happens from insurance appointments, it's a it's a good time upcoming. And so coming in the next several weeks, we'll start releasing this to more and more payers, and and expanding the scope here. Excellent, Micah. I see a comment from Autumn. Yes. Exclamation. So excited about this because the current ERI enrollment process is ridiculously complicated. So definitely have a fan there, and it's these little details that that make the difference. So we'll take a couple of questions and then just move on and then come back to a broader set of q and a. We've got a question from Kim. As a biller, it would be helpful to be notified when a client pays an invoice. Am I missing a way to receive a notification? It's a great question. There is no notification system for that today, but, noted, and I appreciate all of the up votes on that. And we'll look into whether we can make that happen. Thank you, Nate. Appreciate the feedback, Kim. Okay. From Nicole, we have a question. Can invoices have a detailed ERA so clients can see when insurance, covered and what they owed? Micah and I were talking about this question backstage before coming on, and it's actually something that we've heard from customers a lot recently. I've been doing around with customer interviews to understand how we can improve invoices and seeing more information about the ERA or about EOB, has definitely come up a few times. I think we need to look into whether we are allowed to do that and where we may have compliance limitations. But it makes sense that you want your invoice in SimplePractice to reflect what the client is receiving as an explanation of benefits. So kind of similar response to the last one. No. We don't have this right now. But I I definitely have heard this feedback, especially recently, and we'll start working with Micah and and others on the team to see what we can do to improve invoices. Great. And I'll take one more question. Kate, we see you got your hand up. We'll bring you on at the end, when we have Paul back on. So just wanna recognize you got your question in your hand up there. Lynn, has a question. Will there ever be a time that secondary claims are automatically credited from an ERA? We're keeping a manual list of people with secondary insurance, which is a hassle to try and make sure we're not missing a patient being added to that list. And then having to individually go, to each patient to make sure we've submitted that secondary claim. Karen, I can speak to this one. So I don't specifically work on claims, but it claims are the secondary claims, is something that we're aware of, at SimplePractice. We know it's it's massively painful for a lot of folks. And, a lot of the stuff that we are working on right now, on the insurance product is is just trying to get, the bones in place for some of the the paper cuts that you all experienced today, and and this is one of those. And so I don't have a specific timeline on when we might release something related to secondary claims, but this is certainly something that's in our kind of purview. And, if, Lynn, if you have any, additional feedback or wanna have a conversation about what you would like to to see with secondary claims, like, we're we're definitely open to that. Great. So, Micah and Nate, thank you so much. We'll have you come back in a few minutes. We're gonna go on to our last section here. Remember, you can add questions in q and a. But we're gonna bring up Jeff, and Josh. Just to let you know, we we are scheduled to go, up to the hour here, but we will stay on longer to answer more questions if you have time. If you have to drop, that's fine. And then this is all recorded, so you can always go back. But if you wanna stick around, we'll stick around too. Alright. Jeff, do you wanna introduce yourself and what you're gonna show us? Sure. Hi, everyone. My name is Jeff. I'm a product manager on the refer on the referrals team. Today, I'll be showing a new enhancement for our online booking feature for group practices. This improvement changed how a client finds and chooses a clinician on the booking widget. And now let's get right into the demo. Currently, when a therapy seeker visits a group practice booking widget, they're mess met with a list of clinicians' names. With no way to filter, Currently, when a therapy seeker visits a group practice booking widget, they're mess met with a list of clinicians' names. With no way to filter, seekers often drop off before ever selecting a clinician. Today, I'm excited to show you the new clinician filtering experience on the booking widget. This is designed to drive higher appointment conversions for group practices. We've introduced a new directory style layout. Each clinician is now displayed with decision making information at a glance, their credentials, locations, session modalities like in person or telehealth, and most importantly, their next avail next available appointment date. This ensures the seeker has immediate visibility to who can see them the soonest. The core of the enhancement is around searching and filtering, which apply only to clinicians within this specific practice. I can now filter by a specific date and time range. This allows me to match my personal schedule. I could also use the location filter, which shows every office address within the group associated with availability block. As I set the filters, the list updates, removing anyone who doesn't match my criteria. We've also added a service filter. This pulls every service type offered by the group's clinicians directly into a single menu. Once I find the clinician that fits my location and and schedule, I just click the select button to go to the next step in the process to complete my request. Thank you, Jeff. Appreciate it. And last Vias we have here. Joshua, do you wanna introduce yourself and tell us what we're gonna look at? Yeah. Happy to. Joshua Miller. I'm product manager here on the drive demand squad of SimplePractice. My team works on features that are focused on helping clinicians become both more discoverable and more effectively utilized over time. That being said, this first enhancement or feature is a published profile wizard. So we've revamped and redesigned that wizard in order to make it easier to publish a seeker ready profile. So focusing on the fields that are most important to therapy seekers. This feature is going to be released more towards the end of this month, so it's not live yet, but will be soon. Public marketing profile are now able to navigate to the marketing page, profile, and kick off a new lead Public marketing profile are now able to navigate to the marketing page, profile, and kick off a new lead redesigned published profile wizard. This helps clinicians publish higher quality profiles faster by focusing on the information that's therapy seekers care most about. The flow guides clinicians step by step through availability and session options, such as accepting new clients, telehealth sessions, and in person sessions, listing out insurances that they accept, critical information such as focus areas, therapeutic approaches, appointment types, and age groups that they serve. Next, on how a therapy seeker can reach out to the clinician, whether that be online appointment requests or contact form, a brief introductory bio, and then finally, a profile photo. At the end, there's a nice overview of the profile that the clinician can review before they actually publish their profile. Great. So, ideally, this new profile wizard will help with profile completion, publish rates, and to increase the number of bookable clinicians and then help therapy seekers find better fit providers in a more faster way. The next feature is live in production, which is how do we capture a clinician's target caseload today? So practices and clinicians currently lack visibility into true clinician capacity and often manage utilization manually through spreadsheets or ad hoc check ins. There is now a settings page that is purely dedicated to enabling clinicians and practices to enter that in for those clinicians. Page, I go to settings, scheduling and inquiries, and caseload management. With regard to clinicians' ideal caseload, Page, I go to settings, scheduling and inquiries, and caseload management. With regard to clinicians' ideal caseload, many clinicians and practices today don't have a clear way to define what an ideal caseload actually looks like. This can make it difficult to balance referrals, utilization, and clinician workload over time. With this new feature, clinicians can now define an ideal number of clients as well as number of weekly sessions. We then translate those goals into a personalized summary comparing their current caseload to where they want to be and what a typical week might realistically look like. For group practices, managers can also view and manage these targets across clinicians, helping identify underutilized providers, potential burnout risk, and future staffing needs. Over time, this also enables smarter referral routing by prioritizing clinicians who are actively trying to grow their caseload. We expect this to reduce manual capacity tracking, improve referral distribution, and help practices grow clinician caseloads more efficiently. One reaction that we've already heard so far is that this gives visibility into clinician capacity without relying on spreadsheets or manual check ins. And plenty more features to come. Excellent. Well, thanks, Josh and Jeff. I'm just doing one question for you guys, and then we'll go to a broader set of questions here. So there's a question from Ali. Will there be a way to make this more customizable for the marketing profile, I e, instead of just Therapy Finder, Psychology Today since we have psychologists, not just therapists, occupational therapists as well? Yeah. So we are continuously looking to grow the customization of our marketing profiles, whether that be new fields, updated connections. We are looking at how do we potentially import a profile from psychology Today as one possible avenue for clinicians but realistically we're trying to make it as easy as possible for all clinicians on SimplePractice to publish a profile. Great. Well, that's the end of the the demo. So let's bring everyone, back on stage here, and we can start getting into, some questions, from the broad audience. So as a reminder, if you go in q and a, you should see questions already in there. You can upvote those, or you can add, new questions. And, we can start getting in here. Let me just ask questions here. So I'm just gonna bring these up. Okay. So let's let's go. Nadia, thank you for your question. By the way, if anyone wants to be brave and come on stage, just raise your hand. If you put a question in with an upvote, we'll bring you up. So our team backstage is watching for that if you wanna chat live with us. Could we have an option to upload ID cards to the demographics or intake form? Yeah. Thanks, Ian. Thanks for asking, Nadia. I'll take this. This is actually now our newest most voted feature in UserVoice. It is something that we're gonna put on the road map and see how we can prioritize it, and see if we get that out for you as soon as possible. But that's definitely in our top of the list. Alright. Next question is from, Yasmin. Can we add a feature that allows users to log in to the portal using their phone number instead of only an email address? That's a good question. I don't know if anyone here I can probably take this one. Yeah. There's we've heard, feedback around, primary login and email, especially for couples, or families, etcetera, which we are, looking at. But this is also a really good idea in terms of logging into the portal. And as we're looking at, like, payment links and other things, with phone numbers, that is a great idea, Yasmin. So we'll take a note of that and think through that. Appreciate the suggestion. Alright. Question from Jessica. Are there any plans to set up a payment plan option for clients, to have a large past due balance processed automatically based on an agreed payment plan option, e g, you know, client owes 500, wants to pay 100 every two weeks on the first of fifteenth paid off. We have to manually, do this at this time. So, Nate, do you wanna take that one? And then, you know, I don't know if you wanna cover any of those sort of payment options we've been looking at as well that helps clients work through this. Yeah. I can definitely take this. This is something we hear a lot, and we are working on building the foundation for it. Based on the model that we have today, where an invoice is what's used to accrue a client balance, we don't have a good way to implement payment plans today. So we need to do some foundational work in the space of balance accrual before we can actually implement payment plans. But it's something we've heard frequently. I was on the last livestream or the livestream in November, and I think this came up. And, Ian, you and I chatted a little bit about it. So, definitely heard, and. we are laying the foundation to be able to support this because we recognize it as a need. Alright. Thank you, Jessica, for that question. Let's go next question. K. Brianna, Is there a way to set a default price for a late cancellation or no show fee? The way that things currently stand on admins are having to review the calendar each day after last appointment and manually edit invoices. Otherwise, client gets charged the full build rate if they're enrolled in autopay. Does anyone wanna take this from the team? I can chime in on this. It it's a great question. We don't have that functionality today, but, again, have heard this before. The other request related to this that we see frequently is a different payment method. A late cancel fee can't be charged to an HSA or FSA card. And so, I think we definitely need to look at the way that we support these kind of scenarios with more custom billing rules, that adjust a session fee and also potentially, a payment method based on the status of the appointment. So, again, I I sound like a broken record here, but, again, heard and, definitely something that we're looking into. That's great. I know we're coming up to the top of the hour here. We're gonna keep going with questions. I'll just say, if you have to drop off, thank you for coming. We actually have some more of these live streams coming up. There's a, let's talk with Jonathan, our CEO, on May 29 at eleven, AM Pacific time. And then we have another one of these August 19, for the summer release. So just to give you a heads up on that, but we'll keep going if you wanna, stick around and have more questions. So let's go to our next question. Love this employee invoicing feature. However, will this allow us to refund client payments without having to delete any related invoices? Presently, the only way to unallocate a credit to allow for a refund, CR invoices have to be deleted? Nate, do you know the answer to that one? Yep. Yep. This is exactly how it works. So whether it's a refund or an additional charge that changes the client responsibility, it it will automatically update the invoice and the allocations are automatically handled. So a credit will appear for that client and then you can allocate that credit to a future appointment. So the refund logic, it it won't automatically refund. We are of the mindset that having a credit is better than have it than issuing a refund because that saves you money, and is more convenient to be able to just apply to a future appointment. So it won't automatically refund, but there will not be a credit invoice created. You don't have to delete anything. The credit is just applied to the client's account, or lives in the client's account, and then you can allocate it or apply it to a future appointment. And, Nate, if someone's not using SimplePractice invoicing today, like, how do they find it? Is there a way to do that? Great question. I was hoping I'd have an opportunity to to talk about that. So under the client billing documents section of your practice settings, navigate to client billing and insurance and then the subsection of client billing documents. There, you'll see three options for invoice settings. You can have them automatically created daily, monthly, or choose to have them manually created. And so you wanna select that daily setting, so that invoices are created at the end of every day. And then SimplePractice invoicing is just a little checkbox beneath that. So pretty easy to enable. And again, I I find this in the video and I think Ian has mentioned it as well, but, we're seeing pretty huge benefits to this feature. We're seeing that, that appointments with a client responsibility adjustment when the client responsibility changes due to an ERA coming back, those are getting paid 30 to 40% faster, because there's not the manual effort of having to delete invoices, update invoices. There's there's really no manual steps. The invoice is up to date, and all you have to do is collect payment on it or issue the credit or refund. So, it's a huge time saver and helps to to get you paid faster. So definitely definitely worth, worth enabling. And we're we're sending out a survey here to those, users who have enabled it, I think tomorrow. So if you have enabled simple invoicing, look out for that email. We'll be soliciting feedback so that we can continue to iterate on it and improve it as we learn more, and more customers adopt it. Great. Let's go, next question. This is from Julie. Can we update our options for co pay to have multiple options? We have insurance companies that pay different amounts for telehealth versus, in person. So Micah Sanders or Nate Eberly. This is probably one for you. If you don't know the answer, that's fine. We can follow-up. From curiosity, have a thought on this one. I can I can speak to it? I we are aware that, like, contractor rates at times may be different when, it it's kind of state based often depending on state regulation if it changes how insurance companies pay, you as a provider, and that can impact the the client responsibility. And so this isn't something that I'm aware of work being, done on currently, but it's good feedback, and and we can take it back. And, Nate Eberly and and one of our other product managers might need to have a a chat about this one. So appreciate the the, the question, though. Great. Thank you, Julie, for that feedback. Okay. Question from Jennifer. When seeing siblings, is there a workaround to the requirement for a different email and phone number for each sibling and their parent contact. I can take this one right now. We don't have, a workaround for that immediately. We have heard that as an issue. You can add a modifier to the email so you can sort of add up the the email plus one at so if you, Jennifer, if you have questions on that, click the question mark in the bottom right hand corner, and you can get through to help center support, and we can kinda work through that with you. But that is, that is something we've heard quite a bit, and we're sort of thinking. So it's a pretty big change on the back end we need to do, but, yep, thank you for that question. Alright. Okay. So we got more insurance here. When will there be this is from Kimberly. When will there be an option for detailed superbill options? We are asked many times to have billing that reflects client payments, insurance payments, and contractual adjustments included. Current superbill option doesn't provide these breakdowns. I think there are a few emerging themes here from from the questions that we've gotten, this being one of them, that, our current documents being invoices, super bills, and also statements are missing the mark in some cases. And that's exactly the line of research that the the billing team is doing right now. How can we update and improve invoices, super bills, statements to be as functional as possible and include the information, that you need. I haven't heard this specific request, Kimberly, for super bills. So I'd love to dig into this more. I will drop my email in the chat. And if you could just send me some specifics about what you're looking to reflect on superbills, that would be really helpful as we look at how we can improve not just superbills, but also, again, invoices and statements. Great. We'll go about five more minutes with questions here. So let's do your next question. Okay. This is from Carla. Is there a way on on the Medicare remits, it would show or note that they are forwarded to the secondary insurance or payer? Micah, do you have. a thought on this one? be yeah. Yeah. This would be a similar question to someone who had asked before about, do we ever plan on kind of creating any sort of automation or or streamlining the secondary insurance workflow, where the first, you know, primary insurance payment comes in and you you need to then file secondary insurance claim. And so my answer would be similar here is I, I don't know exactly, where this is at in kind of the the current, plan for the rest of this year, but it's something that I know, that the others on our insurance team have been thinking about. And so, I hope that we can have something for you soon. But nothing currently that I'm aware of that's that's being planned for. Got it. This is definitely a theme. Appreciate the feedback. Okay. Sarah has a question. Will you please make it so parents cannot put a card on file that they can lock? That is an interesting question, Sarah. I assume you're meaning, you know, you put you put a card on that then gets denied if they lock it. I think that's what you're asking. I don't know if anyone else has any insight into that one. I don't know if that's possible on our end because we we can, you know, put a file on, but at the the back end, card company is locking. But if you have any more detail, put it in the chat, and we can come back to this. I'm not sure that's something we can control. But if you have more details or wanna come on stage, raise your hand or put something in the chat, and we can go a bit deeper on that one. One. thing I take sorry. One thing I wanted to speak to on the payment links front is the next step that we're the next direction that we're moving in with payment links is automating some of that failed payment collection. So I don't know if this answers the question, but, essentially, with payment links in the future, what we'll do is if a payment fails or if, you know, if a lock has been put on a card, if there are insufficient funds, then we will automatically send a payment link, via email to the client or to the parent, to update that payment method so that the manual effort of keeping an accurate payment method on file, is not on you, the clinician, but on on the system. So we'll automatically reconcile some of those, payment methods that have failed in the past. And I don't know if that's what this question is speaking to, but just wanted to present that we're, trying to make sure that you all have a way of keeping an accurate up to date, reliable payment method on file for clients. Great. Now I see a couple of people are asking for new insurance feeder features, how to get, onto that beta program. I don't know, like, Nate, Micah, if you wanna add your, well, tell us, like, how are people selected to get into that program? And if someone's interested, would they contact you directly, or how do we manage that? I think if, the selection there is, we're trying to get a variety of types of practices so that the the different types of features that are we're releasing can be tested with solos and large groups and, you know, different varieties of insured like, the amount of insurance payers maybe that you accept. If you're interested, I will just put my email in, the chat, and feel free to to shoot me an email, and, I will see what I can do about about getting those, features enabled for for you. We would love we love when people want to test them and are interested in providing feedback about them and going back and forth with us about them. So if that's something you're interested in, feel free to reach out. I will put my email in the in the chat. That's great. And then I think some of the folks with secondary insurance feel free to reach out to Micah as well with any direct feedback. Alright. Let's do one more question, and then we'll probably wrap it up for today. This is from Nicole. We have a front desk admin that schedules for our questions. Is there a way our front desk admin will know once they've reached their full caseload or maxed out for the week? Great question. I Paul and Jeff, like, I think, like, is this sort of combination of, like, as we're thinking about, like, where people are at with, like, desired caseload, how do we think about this one? Yeah. I can chime in. I'm not, like, 100% certain about how the caseload feature feeds in, but this is definitely something that we can consider. We already have a bunch of availability features that inform schedulers when you're hitting the maximum appointment limit for that day. And so I think this is something that we could definitely feed in once we have the data and let them know that, you know, you have the full caseload maxed out based on the settings that you've put in. Yeah. Great. Cool. And that's one of the things, Nicole, we're trying to get in the system is, like, what is the desired number of appointments for any given person? That helps, not only do this kind of thing, but also as a practice manager, you can start to figure out utilization across your team. So, that wraps up, for today. We really appreciate all 233 of you that have still stuck around, even we've run over an hour. So, I think we have a last slide to put up, but, thank you for coming. Appreciate your feedback. Obviously, anything that we didn't get to in terms of, q and a, we'll look through that. We capture and read all of that. In terms of, you know, how to interact with us, how to get a hold of us, so first of all, it's the Facebook community. If you have questions, we have a very active community. Other questions will help answer your question. The product manager will jump in, and support folks as required. Secondly, that little question mark in simple in SimplePractice bottom right, you can get answers to questions there, but you can also add these features or add detail, and we monitor all of that and it gets uploaded. And lastly, my email's there, ian.nox@simplepractice.com. If you have something you're passionate about or just wanna chat, please reach out. Really appreciate you coming today, providing us feedback. Hopefully, you found this useful. We'll see you again, on August 19 for the summer release session with a bunch more things to show you. So, again, appreciate your time to get today, and thank you.
